Privacy Policy

1.  Who we are

1. Who we are

Titan is a pan-European peer advisory ecosystem for senior women executives and leaders. Titan is operated by Ashley Herndon, founder.

For the purposes of this Privacy Policy, the data controller is:

Titan

Contact: info@titant10.com

If you have any questions about how we handle your personal data, please contact us at the address above.

2. What data we collect and why

We collect only the personal data we need to operate Titan and communicate with prospective and current members.

Enquiries and expressions of interest

When you contact us by email or through our website, we collect your name, email address, professional role and organisation, and any information you choose to share about yourself. We use this to respond to your enquiry and assess mutual fit for founding membership. The legal basis is our legitimate interest in managing prospective member relationships.

Membership application

When you apply to join Titan, we collect the following categories of personal data through our membership application form:

Identity and contact data:

First name, last name, email address, mobile phone number, country, city, and LinkedIn profile URL.

Professional and organisational data:

Company name, professional level, years of professional experience, current career stage and primary role, number of reporting levels between you and your organisation's CEO, number of people you are responsible for, company size, and organisation's annual revenue or funding level.

Personal statement data:

Your open-text responses about why you are applying to Titan and any additional information you choose to share about yourself and your career.

We use this data to assess your application, confirm eligibility for membership, and — if your application is successful — to place you in a Titan T10 Core Peer Advisory Group. Group placement is a deliberate curation process: we use your professional and organisational profile to compose groups with meaningful diversity across sectors, seniority contexts, organisational types, and career stages. This ensures each circle brings genuine breadth of perspective. You will be informed of your group placement before your membership begins.

This curation process involves human judgement applied to your application data. It is not automated decision-making, but it is a considered use of your profile to make a consequential placement decision. The legal basis for this processing is the performance of a contract — your membership — and, where you have voluntarily shared information that may touch on personal circumstances, your consent by virtue of choosing to share it.

Please be mindful that the open-text fields in the application may capture personal or sensitive information depending on what you choose to disclose. You are not required to share anything beyond what is specifically asked. Any information you volunteer will be treated with the same discretion we apply to everything shared within the Titan community.

Membership

Once you become a Titan member, we hold the data collected during your application alongside any additional information generated through your membership — such as your participation in events, your coaching journey selection, or communications with us. The legal basis is the performance of a contract.

Website usage

Our website may collect standard technical data such as browser type, pages visited, and approximate location via analytics tools. This data is aggregated and not used to identify you individually. Where cookies are used, you will be informed separately via our cookie notice. The legal basis is legitimate interest in understanding how our website is used, or consent where required.

Communications

If you have applied for membership or expressed interest in Titan, we may send you relevant updates. The legal basis is either consent or legitimate interest depending on the context. You may opt out at any time.

3. How we use your data

We use your personal data only for the purposes for which it was collected:

  • To respond to your enquiries and expressions of interest

  • To assess and confirm membership applications

  • To deliver and administer your Titan membership and associated services

  • To curate Titan T10 peer advisory groups by composing circles with meaningful diversity of professional background, sector, organisational context, and career stage

  • To communicate relevant updates, events, and programme information

  • To improve our services and understand how they are used

  • To comply with our legal obligations

We do not sell your personal data. We do not use it for automated decision-making or profiling that produces legal or similarly significant effects.

4. Who we share your data with

We share your personal data only where necessary, and only with:

Service providers

Those who support the operation of Titan — such as email platforms, scheduling tools, and website hosting services. These providers act as data processors on our behalf and are bound by appropriate data processing agreements. They may not use your data for their own purposes.

Other Titan members

To the limited extent necessary for the functioning of peer advisory circles. Where this occurs, it is governed by confidentiality expectations that are a condition of membership, and members are made aware of the nature of information shared within their circle before joining.

Professional advisers

Such as legal or financial advisers, where necessary and subject to confidentiality obligations.

Regulatory or law enforcement authorities

Where we are legally required to disclose information.

We do not transfer your personal data outside the European Economic Area unless adequate safeguards are in place — such as the EU Standard Contractual Clauses — and we will inform you if this applies.

5. How long we keep your data

We keep your personal data only for as long as necessary for the purposes for which it was collected.

  • Enquiries and expressions of interest that do not result in membership: up to 24 months from last contact, unless you ask us to delete it sooner.

  • Membership records: for the duration of your membership and up to 6 years after it ends, to meet legal and contractual obligations.

  • Website analytics data: as configured by our analytics provider, typically no longer than 26 months.

When data is no longer required, we delete or anonymise it securely.

6. Your rights under GDPR

As a resident of the European Economic Area, you have the following rights in relation to your personal data:

Right of access

You may request a copy of the personal data we hold about you.

Right to rectification

You may ask us to correct inaccurate or incomplete data.

Right to erasure

You may ask us to delete your personal data where there is no legitimate reason for us to continue holding it.

Right to restriction

You may ask us to restrict how we use your data in certain circumstances, for example while you contest its accuracy.

Right to data portability

Where processing is based on your consent or a contract, you may ask us to provide your data in a portable format.

Right to object

You may object to processing based on legitimate interest. We will stop processing unless we can demonstrate compelling legitimate grounds that override your interests, or the processing is necessary for legal claims.

Right to withdraw consent

Where processing is based on consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing before withdrawal.

Right to lodge a complaint

You have the right to complain to a supervisory authority. The lead supervisory authority for Titan is the relevant national data protection authority in the EU member state where you are located. You may also contact the Luxembourg data protection authority (CNPD) or the Italian Garante, depending on jurisdiction.

To exercise any of your rights, please contact us at [email address]. We will respond within 30 days.

7. How we keep your data secure

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. These include access controls, use of reputable service providers with appropriate security standards, and limiting access to personal data to those who have a need to process it.

No method of transmission or storage is completely secure. If you have concerns about the security of information you have shared with us, please contact us.

8. Cookies

Our website may use cookies and similar tracking technologies. A separate cookie notice is available on our website and will be presented to you when you first visit. You can manage cookie preferences through your browser settings at any time.

9. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. The date at the top of this page indicates when it was last updated. Where changes are material, we will notify current members directly.
